Records Retention

Course Syllabi

The Course Syllabi File includes syllabi, course outlines, bibliographies, and reading lists. At the beginning of each semester, syllabi should be sent to the Accountancy Service Center electronically. The Department will retain these files for 10 years and then transfer to the University Archives for permanent retention.

Final Exams

Final exams should be sent to the Accountancy Service Center electronically.

Student Exams

Faculty and teaching assistant’s Student Examinations File should include all final examinations taken by students enrolled in College of Business courses. The Student Examinations File also should include midterm and hourly examinations if the instructor retains the originals of those exams (rather than returning them to the students).

These files should be retained for 1 year and then destroyed, provided no capricious grading complaint and/or litigation is pending or anticipated. If you do not have room to store these files in your office, you may put them in a box, label them with course, term and faculty name and notify the Accountancy Service Center to have them moved to the attic. They will be destroyed after one year.

Instructor Course Grade Books

Faculty and teaching assistant’s instructor course grade books should be retained for 1 year and then destroyed, provided no capricious grading complaint and/or litigation is pending or anticipated. The resultant course grades are recorded in the student’s official academic record maintained by the Office of Records and Admissions.
